Terms and conditions
The Sir Peter O’Sullevan RoR Charitable Trust Partnership of the Year Award and RoR Horse of the Year Award 2025.
- The promoter is Retraining of Racehorses (“RoR”), 7th Floor Holborn Gate, 26 Southampton Buildings, London,WC2A 1AN
- All participants are deemed to have read and agreed to be bound by these Terms and Conditions upon entry.
- The Sir Peter O’Sullevan Charitable Trust RoR Partnership of the Year Award recognises the special bond between a former racehorse and their owner or rider, showcasing the trust, understanding and mutual respect that defines their relationship.
- The RoR Horse of the Year Award recognises former racehorses that have displayed remarkable versatility and adaptability across an array of equestrian disciplines at any level and triumphed over adversity to form a strong bond with their new owner.
- Nominees must be UK residents or an organisation that is located within the United Kingdom.
- Current or former employees of RoR, their families, or any other person professionally connected with the RoR Awards are not eligible to enter.
- The RoR Horse of the Year Award and The Sir Peter O’Sullevan Charitable Trust RoR Partnership of the Year Award is open to all RoR registered former racehorses.
- You can nominate yourself, another person, a former racehorse, or an organisation (as applicable to the award category). You must obtain permission from the person you are nominating before submitting the nomination and make them aware of these terms and conditions. Each voter must use a unique email address to cast their vote. Any duplicate votes submitted from the same email address will be removed during the export process. If a horse is nominated more than once, the RoR team will select the best application to take forward.
- All nominations must be submitted via the entry form on the RoR website. The opening date for nominations is 10 October 2025. All nominations must be received by 5pm on 7 November 2025. This date is final. Nominations received after this date will not be considered.
- Nominations must contain only true, accurate and complete information. By submitting any photographs or videos you confirm that you own or have the relevant rights to share such photographs and videos with RoR. You agree that RoR shall have a licence to use such photographs and videos in connection with the Awards.
- If you, or the person you are nominating, are under 18 years old, you must seek the permission of a parent or legal guardian before submitting a nomination and provide their name and contact details. RoR reserves the right to contact a nominee’s parent or legal guardian in conjunction with these Awards.
- Submitting a nomination is free of charge, but you should be aware that you may be subject to local call charges depending on your own individual arrangements for Internet access.
- RoR cannot accept responsibility for any error, omission, interruption, deletion, defect, delay in operation or transmission, communications line failure, theft, destruction, alteration of or unauthorised access to nominations, or nominations lost, damaged, or delayed as a result of server functions, technical issues, virus, bugs, or other causes outside RoR’s control. Incomplete nominations will be deemed void.
- Ten shortlisted nominees will be decided by a panel comprised of RoR and BHA employees for each of The Sir Peter O’Sullevan RoR Charitable Trust RoR Partnership of the Year Award and The RoR Horse of the Year Award. A panel of judges comprised of representatives from the RoR trustee board, The Jockey Club, The Sir Peter O’Sullevan Charitable Trust, a racing representative and an equestrian representative will decide the three finalists in each category. The decision of the judging panel will be final, and no correspondence will be entered into.
- Shortlisted nominees and finalists agree to be contacted and take part in interviews, and pre- and post-event publicity as required, including photographic sessions or video shoots for the promotion of the RoR Awards. Publication of any kind does not mean the nominee has won.
- RoR will make all reasonable efforts to contact the shortlisted nominees and finalists. If the shortlisted nominees and finalists cannot be contacted within a reasonable time, RoR reserves the right to notify the judging panel who may choose a replacement nominee or finalist.
- The three finalists in each category will be notified in writing by email by 21 November 2025. The winners of each category will be announced at the RoR Awards ceremony to be held at Cheltenham Racecourse on Festival Trials Day on 24 January 2026. Finalists will be invited to attend the RoR Awards ceremony but will be responsible for any travel costs or other expenses incurred in attending.
- The winners of each category will be presented with a perpetual trophy.
- Prizes are non-transferable, cannot be exchanged or assigned to another person or exchanged for cash. RoR cannot accept liability for any prizes lost or damaged in the post or otherwise not validly received by the winners. RoR reserves the right to offer prize alternatives of equal value due to circumstances beyond its control.
- Any personal data, including names, addresses and/or email addresses will be used by RoR in accordance with its privacy policy and treated with appropriate care and security.
- RoR must either publish or make available information that indicates that a valid award took place. To comply with this obligation RoR will publish the name and photograph of the winners on its website. Notwithstanding the above, RoR reserves the right to publish names and photographs of winners and finalists in any format for promotional or marketing purposes.
- If you object to any or all of your details being published or made available, please contact RoR at [email protected]. In such circumstances, RoR must still provide the information and details of the winning entry to the Advertising Standards Authority on request.
- RoR reserve the right to withdraw the RoR Awards at any time, change dates, or withdraw entries if they are deemed contrary to the spirit or intention of the RoR Awards. RoR may also, at its discretion, remove a nominee from the judging process, if, at any time a nominee or any person connected with a nomination, is in breach of these terms and conditions, and/or their behaviours are such that the reputation of RoR or the Awards would be adversely impacted. In the event of such circumstances, RoR may, with the judge’s approval, select an alternative eligible nominee.
- All nominees and their connected persons must adhere to RoR’s social media policy.
- These terms and conditions are governed by English law and any disputes will be subject to the exclusive jurisdiction of the courts of England.
- Insofar as it is permitted by law, RoR will not, in any circumstances, be responsible or accept any liability for any loss, damage, personal injury or death occurring as a result of entering the RoR Awards or taking up a prize except where it is caused by the negligence of RoR or its employees. Your statutory rights are not affected.
- All members entering The RoR Horse of the Year Award or The Sir Peter O’Sullevan Charitable Trust RoR Partnership of the Year Award must be available to attend the RoR Awards ceremony on 24 January 2026 if selected as finalists. Winners are expected to attend in person to receive their award. Unless a winner is unable to attend for reasons completely outside their control, RoR reserves the right to present the award to the designated reserve finalist.
- All RoR Elite Award winners are required to attend the RoR Awards ceremony on 24 January 2026 and come forward in person to receive their award.
- If an award finalist or Elite Award winner is unable to attend, they must contact the RoR Awards team by telephone on 07467 182825 at the earliest possible opportunity.
